Year-End Reserve Reporting

Policy Objective

It is the policy of the CSU that each campus chief financial officer annually direct the distribution of reserves to designate reserves for various purposes in accordance with ICSUAM 2001.00.

The Systemwide Budget Office uses campus reserve object code entries to understand how a campus plans to use its reserves. It is important that campus personnel coordinate with executive management when making reasonable assessments of future needs and determining the appropriate reserve object codes to use for allocation of fund balances.

Campus Procedures

In mid-May of each year, Budget & Finance will send a request to each division/fund manager to complete a Reserve Designation Worksheet and submit it to Budget & Finance by June 15. This worksheet is intended to identify divisional obligations and plans for the use of estimated fund balances. Budget & Finance may request additional information or adjustments to designations upon review. At year-end close, Budget & Finance will reconcile the worksheet to the year-end fund balance and make adjustments as appropriate to meet Chancellor’s Office reporting requirements.

Please complete the Reserve Designation Worksheet(s) for your division/fund and notify Budget & Finance via email once completed. Upon review and acceptance of your designations, your permissions for the worksheet(s) will be changed from edit access to read-only access.
